Managing External Contacts
The Contact Directory allows you to manage people outside your Raven account, such as contractors, emergency services, venue staff or partner organisations. Once added, these contacts can be included in Contact Groups and selected when sending Mass Notifications.
External contacts are people who do not have a Raven login but still need to receive Mass Notifications by text message.
How to Add a Contact- Select Contact Directory > Contacts.
- Select Create new.
- Enter the contact's First Name and Last Name.
- Enter a valid Mobile number. This is required for the contact to receive Mass Notifications.
- (Optional) Enter additional information, including Email, Organisation, Organisational Role, and Department.
- Enable Mass Notifications Enabled if you want the contact to receive Mass Notifications.
- Select Save.
- Open Contact Directory > Contacts.
- Select the contact you want to update.
- Edit the required information.
- Select Save to apply your changes.
Changes are reflected immediately. If the contact belongs to one or more Contact Groups, those groups automatically use the updated contact details. This is implied by group membership being managed separately from the contact record.
Understanding the Contact ListThe Contacts page provides additional information about each contact:
- Raven User identifies contacts who also have a Raven account.
- A ban icon indicates Mass Notifications are disabled for that contact.
- If Contact Groups are enabled, the Contact Groups column shows the groups each contact belongs to.
Deleting a contact permanently removes them from the Contact Directory and from every Contact Group they belong to. Raven displays a confirmation message showing which Contact Groups will be affected before the contact is deleted.
Important Note: Contacts with Mass Notifications Enabled switched off, or without a valid mobile number, cannot receive Mass Notifications even if they are included in a Contact Group.
Tip: Store mobile numbers in international format to help ensure successful message delivery. Invalid numbers are flagged and skipped until corrected.
